Poolside role descriptions
Timekeeper – Timekeepers are required for both internal and external competitions. It will be necessary to complete a short timekeepers’ course.
Judge - Once you have qualified as a timekeeper, you can go on to train to be a judge. There are two levels of judge qualification, and you can help out at internal and/or external competitions
Lifeguard – The club need to provide a trained lifeguard for most of our training sessions at Edinburgh Leisure pools. Lifeguards are organised on a rota basis, so you would not have to attend every session. Training will be funded by the club as you must achieve the NRASTC Lite qualification.
Poolside Helper – Poolside helpers assist the coach to deliver the session and advise swimmers on basic technique. You can volunteer at as many or as few sessions as you like. This qualification is the first step to becoming a coach, but there is no pressure to go on to be a coach.
Coach - The club is currently running with a minimum number of coaches, so please let us know if you are interested in joining the team. The club can help with training costs for coaches if they are committed to staying with the club for a reasonable amount of time. There is an expectation that Coaches will be available for club training sessions on a regular basis.
Senior Technical Official – Co-ordinates the technical officials within the Club, organises timekeepers’ courses, circulates information to timekeepers about judges’ courses. Organises technical officials for internal and external competitions.
Committee role descriptions
The Management Committee are responsible for the general running of the club and they meet up around 6 times a year. See below for short descriptions of the various committee roles:
President – Ensures the Club is run effectively, efficiently and safely. Oversees all decisions taken by the management committee. Chairs meetings and liaises with other committee members.
Vice President – No specific duties but will shadow and stand in for the President when required. Expected to take over from the President at the end of their term.
Secretary – Principal administrator for the Club and ensures the club functions effectively. Is the first point of contact for enquiries and deals with correspondence. Organises and attends all committee meetings. Takes and distributes minutes.
Treasurer – Ensures that the Clubs finances are organised and managed effectively. Deals with income and expenditure and ensures that club funds are spent properly. Attends committee meetings and presents the budget report. Prepares the end of year accounts to present to the auditors and AGM. Plans and monitors the annual budget in agreement with the committee.
Competition Secretary – Liaises with the Head Coach to enter athletes into competitions and ensure all appropriate paperwork is completed. Attends committee meetings, invites swimmers to competitions and records entries on Hy-Tek system. Sends entries, payment and paperwork to meet organisers before deadline.
Membership Secretary – Looks after membership of the Club. Attends committee meetings, maintains an up-to-date Membership register and liaises with Scottish Swimming as required.
Registers any new members with Scottish Swimming and requests payment of Annual Memberships
Welfare Protection Officer – Ensures the club is complying with the Scottish Swimming Wellbeing & Protection Policy and current legislation, and that athletes and volunteers are training / competing / working within a safe environment. Attends committee meetings and conducts the administrative work associated with processing PVGs for the club
General Member – Attends committee meetings and helps out with ad-hoc tasks
Other Role Descriptions
Team Manager – Supports coaches at swim meets. Helps organise and attend training camps.
Help at fundraising events – We always need volunteers at our fundraising events e.g. club champs and club dance. This could include helping set up, or looking after a stall. You won’t have to do anything on your own. The more volunteers we have, the less there is for everyone to do.
Social Committee – We don’t have one of these at the moment, but you may fancy this instead of joining the management committee. This will only work if there are a few volunteers, so you won’t have to do everything on your own. Maybe join with a friend? The Social Committee would organise social and fundraising events e.g. the club dance. Current committee members will provide any help required.
Newsletter – Writes and distributes the newsletters. Liaises with head coach for competition reports and with committee for other content.
Webmaster – looks after our website and keeps it up to date
